Conditions of Acceptance of Stand Orders
1 LICENCE TO EXHIBIT. Licences to exhibit at SXN shows and exhibitions are granted at the absolute discretion of JP South Events (hereinafter referred to as “the organisers”). The organisers reserve the right to decline or cancel a stand order without giving any reason.
2 STAND CONSTRUCTION. All stands will be constructed by the official stand contractors appointed by the organisers. On no account may nails, screws, etc. be used on the stand. Any damage will be the responsibility of the exhibitor and any damage will be charged accordingly.
3 DAMAGE. If any damage or injury shall be caused or occasioned by the exhibitor or his representatives on any person, or to the venue, or its contents whether of like nature or not, for which the organisers would be liable however it may be caused, the exhibitor shall indemnify the organisers and their contractors and hold them harmless against any action, expense or claim on account of any such damage or injury.
4 COMPLETION OF EXHIBITS. All stands and their exhibits must be completed by the opening time on the first day of the exhibition and must be in good order and well displayed during the hours the exhibition is open.
5 DISMANTLING OF EXHIBITS. Exhibits must not be removed and displays must not be dismantled before the closing time on the last day of the exhibition. All exhibits and display material must be removed within two hours of the official closing time of the exhibition.
6 PROHIBITION OF TRANSFER. Exhibitors may not assign, sub-let or grant licences in respect of the whole or any part of the space allotted to them without the written permission of the organisers.
7 FIRE RISKS AND SAFETY. Exhibitors will adhere to all fire and safety regulations which affect the exhibition. Exhibitors’ materials must be kept clear of aisles and fire exits.
8 PROTECTION OF EXHIBITS. All exhibits must be properly protected so as to avoid any danger to any person visiting or taking part in the exhibition. The organisers shall be indemnified by the exhibitor against any claim or action on account of any injury or damage being caused by any exhibit to any person whatsoever. All storage and packing materials must be removed from the exhibition and will be the responsibility of the exhibitor.
9 INSURANCE LIABILITY. Neither the organisers nor the hall owners will be responsible for the safety of any exhibit or property of any exhibitor or any person, for the loss or damage of, or destruction to same by theft or fire or any other cause whatsoever, or for any loss or damage sustained by the exhibitor by reason of any defect in the building caused by fire, storm, tempest, lightning, national emergency, war, labour disputes, strikes, explosion, etc. or any cause not within the control of the organisers.
10 ELECTRICAL FITTINGS AND SUPPLIES. Any additional requirements for lighting, power points or sockets, etc. must be carried out by the organisers’ official electrical contractors.
11 UNOCCUPIED SPACE. Where space applied for and granted is not occupied or used by the exhibitor for any reason whatsoever, there will be no refund of payment.
12 REVISION OF LAYOUT. Should it become necessary to revise the layout of the exhibition for any reason, the organisers reserve the right to transfer an exhibitor to an alternative site.
13 POSTPONEMENT OR ABANDONMENT. In no event shall the exhibitor have any claim of any kind against the organisers or the hall owners in respect of any loss or damage consequential upon the prevention, postponement or abandonment of the exhibition, by reason of the happenings of any of the events referred to in rule 9 or of the exhibition building becoming wholly or partially unavailable for the holding of the exhibition for reasons beyond the organisers’ control. The organisers shall be entitled to retain such part of all sums paid by the exhibitors as the organisers consider necessary. If in the opinion of the organisers rearrangement or postponement of the period of the exhibition or by substitution of another hall, or building, or any other reasonable manner, the exhibition can be carried out, the contract for space shall be binding upon the parties, except as to the size and position of the stands, as to which any modification, substitution, or rearrangement they consider necessary shall be determined by the organisers. If the hall becomes unavailable through any of the cases specified in paragraph 9 during the running of the exhibition no return of any monies paid or due by the exhibitor to the organisers, under the contract, shall be payable.
14 EXHIBITORS’ CONDUCT. Exhibitors, their staff and representatives shall be expected to conduct themselves with propriety. Soliciting, bill-posting and distribution or display of any promotional or other material by the exhibitor outside the licensed area (i.e. the space reserved under this agreement) is strictly prohibited. The organisers reserve the right at their absolute discretion to remove from the exhibition any person or persons whom they consider to be acting improperly, contravening exhibition rules or causing unreasonable nuisance or annoyance.
15 DISPUTES. The agreement does not constitute a tenancy but a licence to exhibit, notwithstanding anything which may appear herein to the contrary. If any question or dispute arises not provided for in these rules and regulations, the organisers reserve unto themselves the right to settle such question or dispute and their decision shall be accepted by the stand holders as binding and final.
16 AMENDMENT OF RULES. The organisers reserve the right to alter, add to, or amend any of these rules and regulations. Should any question arise, whether provided for in these conditions or not, the decision of the organisers shall remain final. No alteration, addition, amendment or waiver to or of these rules shall operate to release any exhibitor from his contract.
17 STAND RESERVATION: A stand may be put on reservation only for a maximum period of 7 days from the date of confirmation.
18 STAND BOOKING. All stand bookings will be subject to availability. They will be valid only when a booking receipt is issued.
19 SPACE ONLY EXHIBITORS: Exhibitors intending to build their own bespoke stand, or wishing to include interactivity in their area, such as a cooking demo for example, must supply JP Events & Exhibitions with the relevant Risk Assessment by email or fax by 10th January 2012. For any space only exhibitors with bespoke stands, JP Events & Exhibitions will need prior notice in order to inform the shell contractor. Any extra panels other than standard shell supplied must be ordered directly through Hirex. Additional shell scheme will incur an extra cost to the exhibitor.

IMPORTANT INFORMATION: CANCELLATION OF SPACE If a stand booking is subsequently cancelled the organisers reserve the right to apply the following cancellation charges:
